Who is responsible?
Good Neighbour is operated by Rossway Property Investments Ltd, company number 16259923, the controller of your enquiry information. Contact hello@goodneighbour.co.uk or write to Estate Office, Rossway Park Estate, Berkhamsted, HP4 3TZ. Our registered office is 3rd Floor, 86-90 Paul Street, London, England, United Kingdom, EC2A 4NE.
What we collect
We collect the contact details, property details, sale circumstances and messages you provide, together with any photos, EPCs, floor plans or reports you choose to upload. We keep relevant correspondence, assessment records and security information needed to handle the enquiry. Required fields identify the property and let us respond; optional details help our assessment. Without enough information, we may need to ask further questions before considering an offer.
Please share only information relevant to the property. Avoid uploading identity documents, bank statements, unrelated tenant details or sensitive information about your family. If you act for someone else, make sure you are authorised to share their information and give them this notice.
Why we use it
We use your information to respond, assess the property, discuss a possible purchase and keep an accurate record of our dealings. Where you ask us to consider buying your property, this involves taking steps at your request before a possible contract. We also use relevant information for our legitimate interests in managing enquiries, checking accuracy and authority, protecting the service and dealing with complaints or disputes. Where an enquiry concerns someone else, our interest is in assessing and responding to an authorised property enquiry. We also process information where necessary to meet legal obligations.
A person reviews assessments and any proposed offer. Submitting an enquiry does not produce a solely automated purchase decision, commit you to selling, or subscribe you to marketing. We do not sell your identifiable enquiry information.
Who handles the information?
Authorised staff use HighLevel/LeadConnector for customer records and correspondence, with Google Workspace retaining mailbox copies. Supabase holds enquiry records and private files; Railway scans uploaded files; Cloudflare hosts and protects the website and stores private recovery copies of scan-cleared files. Optional website analytics uses PostHog in its EU region. Our analytics notice explains the separate choice and the information excluded from analytics.
Relevant information may also be shared with professional advisers and the proposed buying company where necessary for your transaction, or with authorities where legally required. The buyer will be identified in the offer. Service providers may process information outside the UK, including through their support teams and subprocessors; EU storage does not mean all processing takes place in the UK or EU. Contact us for information about the recipients and transfer safeguards applicable to your enquiry.
How long we keep it
We review active enquiries within 12 months. A genuinely ongoing negotiation can remain open longer with a recorded reason; a resolved enquiry can close sooner. This is a review period, not a promise that an offer remains valid for 12 months.
After closure, our ordinary policy allows up to six years for information necessary to evidence our dealings and handle potential disputes. This is not a requirement to keep every photo or document for six years: relevance, necessity and any request you make must be considered. A particular legal obligation or dispute may require a documented exception. Completed purchases may have separate legal and accounting requirements.
Private backup copies are part of the same data-handling process. They do not disappear immediately when a working record is removed. Retention and removal require review across the enquiry store, CRM, mailboxes and backups; we do not promise an automatic deletion deadline that our systems do not enforce.
Your choices and rights
Depending on the circumstances, you can ask for access to your information, correction, erasure, restriction or a portable copy, and object to processing based on legitimate interests. These rights are not absolute; for example, some evidence may still be needed for a legal claim. Contact hello@goodneighbour.co.uk and explain your request. We may need to verify your identity before disclosing or changing records.
You can refuse or withdraw optional analytics consent using Analytics choices in the footer without affecting your enquiry. Withdrawal stops future analytics; it does not itself erase information already collected. You can complain to the Information Commissioner’s Office, whether or not you first contact us.
